Business travel assistant vs travel management company
A traditional travel management company typically provides corporate travel infrastructure, booking capability, policy controls and account management across an organisation. A business travel assistant is a more hands-on service model: the traveller or authorised assistant sends the requirement, a person interprets it, prepares suitable options and helps coordinate the agreed trip and subsequent changes.
The two models are not necessarily substitutes
A travel assistant can be most relevant when the main problem is the time and coordination involved in arranging individual trips. A TMC may be more appropriate where an organisation needs company-wide travel policy, reporting, approval workflows or large-scale programme management.
What a TMC typically does
A TMC commonly supports corporate travel programmes through booking infrastructure, negotiated content, policy controls, traveller tracking, reporting and account management. The exact service varies by provider and contract.
What a business travel assistant does
A business travel assistant interprets an individual requirement, researches suitable options, presents a concise shortlist, coordinates approved arrangements and helps keep the connected itinerary current.
Where the models overlap
Both models can support bookings, itinerary information and changes. The important distinction is usually the scale of the relationship, the interaction model and how much research and coordination remains with the traveller or assistant.
| Dimension | Human travel assistant | Alternative model |
|---|---|---|
| Interaction model | A person interprets the request and responds with relevant options. | A corporate travel programme uses booking infrastructure and account support. |
| Primary user | Executives and authorised PAs, EAs or representatives. | Organisations and their travelling employees. |
| Research and shortlisting | Research and a concise shortlist are delegated. | Search and policy-led booking may be handled through the programme. |
| Booking workflow | BTA proceeds after approval or within expressly authorised parameters. | Workflow follows the organisation's policy and account setup. |
| Traveller / PA involvement | The traveller or authorised representative stays involved in decisions. | Involvement depends on policy, workflow and service model. |
| Corporate policy infrastructure | Not a replacement for organisation-wide policy infrastructure. | Core part of many TMC programmes. |
| Reporting | Agreed trip information and itinerary support. | Programme reporting and management information. |
| Changes and disruption | A person coordinates agreed changes across the connected itinerary. | Support depends on the TMC service and account arrangement. |
| Service relationship | Membership-based human assistance. | Corporate account or programme relationship. |
When each model may fit
If the main problem is the amount of travel work sitting with an executive or their assistant, BTA is designed to take on that legwork while keeping approval with the traveller or authorised representative. For organisation-wide policy, reporting and programme management, a TMC may be the better fit.
